Use of School Facilities

POLICIES AND REGULATIONS

• The Maintenance and Operations Department is the authorized District Representative and manages all facility reservations.
• Reservation requests must be submitted through the district’s online booking system.
• Applications must be submitted a minimum of two (2) weeks prior to the first event date.  
• Organizations using district facilities will be charged fees based on Board-approved rates and classifications (AR1330).
• Organizations that fall under Category I (Free Use) are exempt from these facility fees but remain responsible for utility and service fees.
• Consumption or use of liquor, alcoholic beverages, illegal drugs, narcotics, tobacco, or e-cigarettes are strictly prohibited on school premises.
• Air rifles, pistols, BB guns, blow guns, or dart guns.
• Bows and arrows, guns, or fires of any type.
• If an organization fails to maintain proper conduct, use of facility privileges will be revoked.
• All organizations must cover the cost for utilities and services (e.g., custodial, campus security officers), along with any other expenses incurred by the District.
• Youth groups must have adult supervision at all times.
• Food and drink are not allowed unless prior approval is obtained.
• If an organization provides false information or misrepresents its purpose, and number of attendees the request may be canceled, entrance may be restricted at requested amount, and future use could be denied.
• If misbehavior or rule violations occur, the district may require additional security personnel for future events, and the organization will bear the cost.  Costs of additional security will be charged to the requesting organization.

By applying to use District facilities, the organization agrees and understands the following:

• Organization will provide proof of liability insurance of $1M Liability coverage, and $50,000 Property coverage at the time of application.
• Additional vendors at your event will also need to provide the same insurance coverage and a hold harmless at the time of application.
• If non-profit, organization must provide proof of 501 (c) status.
• Organization will not cut locks, chains, or fences or damage equipment.
• Organization may only use those facilities requested and approved.
• Advance payment of a minimum of 72 hours prior to each event is required.  
• Final authorization and approval must come from the Maintenance and Operations Department.
• Facilities must be left in good condition after the event.

The district reserves the right to refuse the use of facilities if the request is more than the district will be able to handle.  Additionally, the following activites are strictly prohibited:

• Any activity forbidden by law or Education Code.
• Consumption of alcoholic beverage, illegal drugs, or smoking.
• Air rifles, pistols, BB guns, flow guns, or dart guns.
• Bows and arrows, guns or fires of any kind.
• Golf, skateboards, model airplanes/cars.
• Moving any site equipment such as picnic tables, benches, trash cans.

Organization agrees to pay for damages and injuries due to unsafe use or misuse of site facilities, and agrees not to hold the District liable for injuries, damages as a result of misuse of equipment, or failure to follow procedures and safety rules.
